Handyman Invoice App: Many Small Jobs on One Invoice

Invoice Hop is an iPhone, iPad and Android invoice app for small businesses. Handymen say the punch list in one breath, like “hang a door an hour and a half at 70, patch drywall 90, two fence boards at 25”, and get one invoice with a line per task. Customers pay you directly by Zelle, card or check.

A worked example: a four-item punch list

Handyman visits are a list, so the invoice should be too. Here is a typical Saturday visit, said into the phone once and turned into four lines. Partial hours are written as decimals, so ninety minutes is 1.5 hours, and the math stays easy for the customer to check.

You say: “Invoice Sarah Chen, hang interior door 1.5 hours at 70, patch drywall 90, replace 2 fence boards at 25, materials 48.50”

  1. Hang interior door: 1.5 hr × $70.00 = $105.00
  2. Patch and paint drywall: 1 × $90.00 = $90.00
  3. Replace fence board: 2 × $25.00 = $50.00
  4. Materials: 1 × $48.50 = $48.50
  5. Total: $293.50

Invoice Hop matches the tasks you say to items you have saved, so a regular job like “replace fence board” fills in your usual price. Anything new is added as a new line and highlighted so you can check it before sending.

Hourly, flat and minimum charges

Most handymen mix hourly lines for jobs with unknowns and flat prices for routine ones. Save both kinds in the item list, along with a minimum service charge if you use one. Each shows as its own line, so customers can see the charge was set in advance and not added on the spot.

FlatMount TV $120.00Jobs you’ve done many times
MinimumMinimum service charge $95.00Very short visits

If a customer adds one more thing while you are there, add it as a line before you leave. It is easier to agree on the price face to face than over text a week later, and the customer sees it on the invoice they sign.

Your invoice templates use your logo and color, so a punch list invoice looks as professional as a remodel estimate.

Repeat customers and saved prices

Many handyman customers call back every few months with a new list. Invoice Hop keeps their details and your past invoices on your phone, so the next invoice starts with their name and address already filled in. Duplicate an old invoice when the jobs are similar, then change the lines.

  • Customer details: name, phone, email and address saved once.
  • Past invoices: open the last one to see what you charged before.
  • Export: download all invoices as a CSV for your records or your accountant.

Card payments through your own Stripe account are marked paid automatically. For Zelle, cash or check, mark the invoice paid and send a receipt before you leave if the customer paid on the spot.

Signature, photos and getting paid

When the list is done, hand the customer your phone to sign and snap a photo of the finished work. Both go on the invoice. Then send it by text from your own number. The customer opens a link, sees the total and pays by Zelle, Venmo, Cash App, check, or card through your Stripe.

You can also show your Zelle email, Venmo business handle and check details on the invoice page. The customer picks whatever is easiest, and you mark the invoice paid when the money arrives.
