A worked example: a custom cake order
Side businesses need invoices that look professional without a setup afternoon. Here is a custom cake order with a deposit already paid by Venmo. The invoice shows what is left, and the customer can pay the balance from the link you text them, using whatever method you listed.
You say: “Invoice Lisa Gomez, two tier birthday cake 180, delivery 25, she paid 50 deposit”
- Two-tier birthday cake: $180.00
- Delivery: $25.00
- Total: $205.00
- Deposit received (Venmo): −$50.00
- Balance due: $155.00
You can show Venmo, Zelle, Cash App, PayPal or card payments on the invoice. The customer picks one, pays you directly, and you mark it paid when it arrives. Card payments through your own Stripe are marked paid automatically.
If the customer pays the rest on pickup, record the payment and send a receipt showing a balance of $0.00. The order is closed, and both of you have the record.
Customers see your business name and logo at the top of the invoice.
Is the Free plan enough?
If you send three or fewer invoices or estimates a month, the Free plan covers you, including AI invoicing. Your invoices carry a small Made with Invoice Hop line. If you send more, or want automatic reminders and all templates, Pro removes the limit. Pro is monthly or yearly, never weekly.
| Free | Pro | |
|---|---|---|
| Invoices and estimates | 3 a month | Unlimited |
| AI invoicing | Included in the 3 | Unlimited (fair use) |
| Automatic reminders | No | Yes |
| Made with Invoice Hop line | Shown | Removed |
| Fee on your payments | None | None |
If you invoice only a few times a year, the free invoice generator on this site may be all you need. It runs in your browser and makes a PDF.
Pro is billed through the App Store or Google Play, and the price is shown in the app before you subscribe. You can cancel any time in your App Store or Google Play settings.
You can also start on Free and upgrade only if you need more invoices that month.
Looking professional from day one
Customers judge a small business by its paperwork. Add your logo and brand color once and every invoice uses them. Customers see your name and logo at the top of the invoice page, with the amount in large type and clear ways to pay, even if you started selling last month.
- Logo and color: added once, used on every invoice and estimate.
- Templates: several layouts to choose from; all of them on Pro.
- Notes: a thank-you line or your pickup hours at the bottom of each invoice.
If you change phones, turn on cloud sync first, then sign in on the new phone with the same Apple or Google account.
Your data stays on your phone
You don’t need an account to start. Invoices, customers and items are stored on your phone. When you send an invoice link or email, only that invoice goes to our US servers so your customer can open it. Cloud sync is off until you turn it on, for example when you change phones.
If you ever stop using Invoice Hop, you can export all your invoices to a CSV file first, so your records stay with you.
